Their Preconstruction team plays a critical role in ensuring projects are fully scoped, accurately priced, and set up for successful execution before construction begins.Job DescriptionOur client is seeking a highly organized Administrative Assistant to support their Preconstruction (Estimating & Purchasing) team. This individual will play a key role in keeping bid processes moving efficiently by coordinating documentation, supporting subcontractor outreach, and assisting with the preparation of bid materials. The ideal candidate thrives in a fast-paced, detail-heavy environment and enjoys managing multiple priorities at once.Key ResponsibilitiesCoordinate incoming and outgoing bid documents, drawings, and proposal materialsAssist in assembling bid packages including forms, submissions, and supporting documentationDistribute project opportunities and manage communication with subcontractorsTrack bidding activity and maintain outreach logs and internal databasesSupport bid-day preparation including scheduling, organization, and logisticsMaintain organized filing systems and ensure project records are up to dateManage calendars, schedule meetings, and provide general administrative support to the estimating teamQualifications3+ years of administrative experience, preferably within the construction industryExposure to bidding, RFPs, or subcontractor coordination strongly preferredProficiency in Microsoft Office (Excel and Word required)Experience with tools such as Procore, Bluebeam, or BuildingConnected is a plusStrong organizational skills with exceptional attention to detailAbility to manage multiple deadlines in a fast-paced environmentProfessional communication skills and strong office presenceConstruction industry experience must be clearly outlined on resumeAdditional DetailsMust be able to commute onsite daily (role is fully in-office)Interview process includes one in-person meeting with hiring managerStart date expected approximately one week after offer acceptance (pending clearance)Role supports a team of ~19 within the Preconstruction departmentPerksOpportunity to break into or grow within the construction preconstruction/estimating spaceExposure to high-profile commercial and government projectsStable, long-term contract-to-hire opportunity with room for growthHighly collaborative and structured team environmentStrong training and onboarding within a well-established organizationAddison Group is an Equal Opportunity Employer.
